RTSM That Scales: Supporting Complex Studies for Top Pharma with Confidence

Background & Challenge

One of Sitero’s customers—a top 5 global pharmaceutical company—manages a diverse portfolio of clinical trials across multiple therapeutic areas. They decided to consolidate much of their Randomization and Trial Supply Management (RTSM) activity under a single updated platform. This meant upgrading from the legacy version of Sitero’s RTSM while also transitioning studies from other RTSM vendors, without disrupting ongoing trials or sacrificing key functionality.

Sitero’s Solution

Throughout our 10+ year relationship, we’ve partnered closely with this sponsor to deeply understand their operational needs and evolving study requirements. Teams from both organizations collaborate to triage challenges as they arise and adapt the platform to meet defined needs.

Sitero worked closely with the Sponsor to facilitate the strategic implementation of the latest version of our RTSM platform through a phased rollout. The newer platform offers expanded capabilities while maintaining consistency and ease of use. To date, more than 32 new studies have been built directly in the upgraded system, and over 50 legacy or externally-managed studies will be migrated.

Our collaborative approach to service delivery was essential to the success of the rollout. We engaged regularly throughout the development lifecycle—training their teams, incorporating their feedback, and co-creating enhancements that aligned with their evolving needs.

Key advantages for the Sponsor include:

  • Predictive features that help proactively avoid drug supply stockouts; rates consistently exceed performance targets
  • Flexible configurations to support high-volume, complex studies (such as oncology and vaccines)
  • Seamless integrations with CTMS, clinical supply management systems, temperature excursion adjudication management, and other applications within the sponsor’s eClinical ecosystem
  • Familiar framework that allows internal teams to build studies consistently across programs in about half the time as the industry average
  • Intuitive user interface for site users; many support-type activities can be performed directly in the system without going through the help desk (such as kit replacement, skipped visits, and incorrect kit dispensed)
  • Standard suite of reports available within the application; a flexible reporting framework that allows business teams to easily build custom reports without reliance on technical teams

Outcome

The sponsor’s decision to consolidate and expand their utilization of Sitero’s Mentor RTSM platform—despite the additional investment required for the transition—demonstrates their confidence in the system and the value of our partnership.

By implementing a standardized RTSM solution, the sponsor has optimized operational efficiency, minimized risk exposure, and enhanced oversight of its expanding clinical research portfolio.

Key outcomes include:

  • 30+ studies already built and running on the upgraded RTSM platform, with more underway
  • Migration of 50+ legacy studies scheduled to begin in August 2025, with completion targeted by Q1 2026
  • Reduction in drug stockout risk through predictive supply chain tools and real-time monitoring
  • 50% faster study build times compared to industry averages, even for large-scale programs
  • Improved site experience with fewer support requests thanks to self-service features and intuitive design
  • Stronger long-term scalability through consolidated RTSM governance and integrated workflows

Customer Feedback

“Transitioning to the updated RTSM platform has been one of the smoothest tech rollouts we’ve experienced. Sitero worked closely with our team to ensure every study build was aligned with our internal processes—and the predictive supply tools have helped us stay ahead of drug stockouts. The platform is flexible enough for our most complex protocols but still easy for sites to use, which is critical. It’s clear that Sitero values true partnership and understands what operational teams need in a system like this”
